Viewing and managing the waiting list (desktop)
In this article, you will learn how to view the waiting list, correct details by recreating a request, change request order, and remove a request on desktop.

Use this overview when a time slot becomes available, when you need to review the notification order, remove requests that are no longer relevant, or correct the requested time and service. A waiting-list request is not a booking, and changing the order does not create an appointment.
When does a request match an available appointment?
Zoyya checks the selected days, time range, services, employee, request expiration date, and the total service duration. If one of those details does not match the available slot, that slot will not be offered for the request.
Send free appointment notification to client in the location's advanced settings determines who receives the notification. When enabled, Zoyya notifies the client so they can book a matching appointment. When disabled, it notifies the location so the team can contact the client.
Correct the request details
An existing request cannot be edited directly. To change the preferred days, time, service, or employee:
- Open Requests > Waiting list.
- Note the details you want to keep.
- Delete the existing request.
- Add a new request with the correct details by following the related article.
Changing a service duration in the price list does not change the duration saved on an existing request. The request keeps the duration that applied when it was created, so recreate it to use the new duration.
Change the order
Use the up or down arrow next to a request.
When client notifications are enabled, the order determines who receives the first opportunity to book the available slot. Zoyya does not notify every client at the same time. The next notification is sent after the value in Interval between notifying clients about a free appointment (min) in the location's advanced settings, provided that the slot is still available and still matches the request.
Delete a request
- Find the request in the list.
- Click the trash icon next to the request.
- Confirm removal.
Deleting a request does not cancel or change an appointment because a request is not a booking. If an appointment has already been created, edit or cancel it separately in the calendar.
An email that has already been sent remains in the client's inbox, but after deletion the request is no longer active and the offered appointment cannot be accepted from that message. If the client already accepted the offer and an appointment was created, manage that appointment separately in the calendar.
Difference between deletion and assigning an appointment
Deleting removes the request from the active list without creating an appointment. When you open the request and complete appointment assignment, Zoyya opens the client, service, and employee details in a new appointment. After saving, the appointment is created, the request is no longer active, and its record remains connected to the created appointment.
If an expected notification was not sent
Check:
- whether the date, day of the week, and time match the request
- whether the services, employee, and total required duration match
- whether the request is still active and has not expired
- whether Send free appointment notification to client is enabled or disabled
- whether the available slot remained free until the next notification was due.
For a specific case, prepare the client's name, a screenshot of the request, the date and time of the available slot, the service and employee, and when and how the slot became available.
The Number of notifications column shows how many available-slot notifications have been recorded for the request.
Group appointment waiting lists are managed separately and are tied to one specific group appointment.
