Cancelling a receipt (mobile)

In this article, you will learn how to cancel an issued receipt through the Zoyya partner web app on a mobile device. Start the cancellation from the original receipt details.


When you cancel a receipt, Zoyya does not delete the original receipt. The original receipt receives the Cancelled status and Zoyya creates a new cancellation receipt with negative quantities and amounts that offset the original receipt. Both records therefore remain visible in the issued receipt overview.

When should you use this option?


Use receipt cancellation when a receipt was issued incorrectly, the amount is incorrect, the wrong client or payment method was selected, or the receipt needs to be cancelled according to your location's internal rules.


Before you begin


To cancel a receipt, a cash register for the current date must be open. If a cash register from a previous day is still active, close it first and open a new one.


Steps


Open the original receipt


  1. From the home screen, tap the main menu and then Cash register.
  2. Open Viewing issued invoices.
  3. Tap the receipt you want to cancel.


Cancel the receipt


  1. In the original receipt details, check the receipt number, items, and total amount.
  2. At the bottom of the screen, tap Cancel receipt.
  3. Check that the Receipt cancellation confirmation screen opens.
  4. Check the items and the negative amount.
  5. Check Operator.
  6. Check Payment method. Zoyya copies it from the original receipt and it cannot be changed.
  7. To send the receipt by e-mail, turn on Send by email and check the e-mail address.
  8. When all details are correct, tap the red Cancel receipt button at the bottom of the screen.
  9. After a successful cancellation, the new cancellation receipt details open.
  10. Return to Viewing issued invoices and verify that the original receipt has the Cancelled status and the cancellation receipt has a negative amount.


If the Cancel receipt button is not shown


  1. Check whether the original receipt has already been cancelled.
  2. Check that you opened the original receipt, not the cancellation receipt with a negative amount.
  3. Check that a cash register for the current date is open.
  4. If cancellation is still unavailable, contact your location administrator or Zoyya support.


Important: Receipt cancellation cancels the complete original receipt. You cannot choose only individual items to cancel.


Important: Zoyya copies the payment method from the original receipt. It cannot be changed on the Receipt cancellation confirmation screen.


Important: Receipt cancellation does not delete the original receipt. The original receipt receives the Cancelled status, while Zoyya creates a new cancellation receipt with negative quantities and amounts.


Difference between the terms


A cancelled receipt is the original receipt that is no longer valid because it was offset by a cancellation receipt. Its status becomes Cancelled.


A cancellation receipt is the new receipt created by Zoyya to record the cancellation of the original receipt. It contains negative quantities and amounts.


Example: if receipt number 15 is cancelled, receipt number 15 receives the Cancelled status. Zoyya then creates a new receipt, for example number 16, with negative quantities and amounts that offset receipt number 15.


Rules and limitations


The Cancel receipt action cancels the complete original receipt.


The Cancel receipt button is shown only on an issued original receipt. It is not shown on an original receipt that already has the Cancelled status or on a cancellation receipt.


To cancel a receipt, a cash register for the current date must be open.


You can check or change the operator before confirming the cancellation. The payment method is copied from the original receipt and cannot be changed.


If the original receipt is connected to an appointment, the payment status of the connected appointment returns to unpaid and the payment method is removed from the appointment.


If the original receipt was paid through Viva Wallet, the Zoyya partner web app on a mobile device starts the Viva Wallet transaction cancellation process.


In short: cancellation is the action, a cancelled receipt is the original offset receipt, and a cancellation receipt is the new receipt with negative quantities and amounts that records the cancellation.
