How gift cards and service packages work in Zoyya

In this article, you will learn the difference between a gift card, a service package, a template, and an issued record, and how in-location sales and online sales are connected.

Gift cards and service packages let a client pay in advance for future services. You can issue them manually at the location or offer them for online purchase through a template.

Gift card and service package

Gift card

Service package

Represents a monetary value that a client can use for services.

Contains predefined services and the number of times each service can be used.

Its value is reduced when it is used.

The remaining quantity of the relevant service is reduced when it is used.

It can apply to all services or be limited to individual services and service types.

It can only be used for services included in the package.

Template and issued record

Template

Issued gift card or service package

Contains settings that can be reused.

Is a separate record with a unique Zoyya code.

Can be available for online sales.

Is tracked in Gift cards and packages > Sales.

Later changes apply to future issues and online purchases.

Keeps the details it had when it was created.

A template is not required for manual issuing. It is useful when you often use the same values, services, terms, or design.

How does the process work?

Online sales

  1. Create a gift card or service package template.
  2. Turn on Online sales on the template.
  3. The client selects and pays for the offer through the Zoyya website.
  4. After successful payment, Zoyya automatically creates an issued gift card or service package.
  5. Track the issued record in Gift cards and packages > Sales.

To prepare an online offer, review the requirements for online sales, then choose the instructions for a gift card template on desktop, a gift card template on mobile, a service package template on desktop, or a service package template on mobile.

Issuing or selling at the location

  1. Open Gift cards and packages > Sales.
  2. Start creating a new gift card or service package.
  3. Choose whether to use an existing template or enter the details without a template.
  4. Optionally select a client and send them an e-mail.
  5. Review the details and confirm creation.

Detailed steps are available for a gift card on desktop, a gift card on mobile, a service package on desktop, and a service package on mobile.

Tracking issued records

In Sales, you can find issued gift cards and service packages, check their status and remaining balance, and open:

  • Usage activity
  • Included services or Package content
  • Change log with recorded events.

Read the details in How to check the status of issued gift cards and service packages.

Cancelling an appointment linked to a gift card or service package

This appointment follows the appointment cancellation deadline under Settings > Location > Online reservations.

Important: Cancellation before the deadline: Before confirming, the client sees that the use will be returned. Cancelling restores the used value to the gift card or the used service to the service package.

Important: Cancellation after the deadline: Before confirming, the client sees that the use will not be returned. The appointment is cancelled, but the value or service remains recorded as used.

When a staff member cancels the appointment in the partner Zoyya web application:

  • with Client didn't show up, the use remains recorded
  • with another cancellation reason, the use is returned to the gift card or service package.

The deadline and the behavior of a regular appointment are explained for desktop and mobile.
