How to add a client to the waiting list for a group appointment (desktop)

In this article, you will learn how to add a client to the waiting list for one specific group appointment on desktop.

Unlike a request where a client selects suitable days, times, and services, this queue is tied to a group appointment with a specific date, time, service, and resource.

Add a client from the calendar

Open Calendar.
Open the group appointment for which the client wants to wait.
Open the Waiting list tab.
Click Add client.
Select the client.
If the client has an email address and you want to send a confirmation, enable the email option.
If the queue already contains clients, enable Add client to the top of the list when needed. Otherwise, the client is added to the end.
Confirm the addition.

When a group appointment already has an active queue, you can also open it through Requests > Waiting list. Select the appointment by its date, time, service, and resource, then open its Waiting list tab.

How does a client join the queue?

When a group appointment is full and the waiting list is enabled, the client can select it during online booking. Zoyya explains that the appointment is full and offers to add the client to the waiting list. After confirmation, the client joins the queue for that exact group appointment.

Important

The same client cannot have two active waiting-list entries for the same group appointment.

Queue order matters because Zoyya processes the first active client first.

Whether this entry is processed automatically is controlled by Automatically fill an available place on the appointment in advanced settings.

A client on the waiting list does not yet have a reserved place. The place is reserved only after Zoyya or a staff member adds the client to the appointment.

Why is the group appointment missing from Requests > Waiting list?

This overview shows future group appointments that currently have at least one active waiting client. To add the first client, open the group appointment in Calendar, then open its Waiting list tab.

Can I place a client first in the queue immediately?

Yes. Enable Add client to the top of the list while adding the client.

Can a client join the queue while places are still available?

No. The waiting-list option is offered when the selected group appointment is full.
